NOVEL Co., Ltd. (“we”) sets out below how personal data is handled on NOVEL ONLINE STORE (“this site”).
1. What we collect
We collect the following when you use this site.
When you request a shipping quote
- Your name and company name
- Email address and phone number
- Destination country or region, postal code, prefecture or state, city and street address, building name and similar
- Vehicle model, model year, model code, quantity wanted, and any delivery conditions or requests
- Any photos or documents you choose to attach (a photo of the loading entrance, the vehicle inspection certificate and so on)
When you apply for an ECU fitment check
- Your name, country of residence, email address and phone number
- Vehicle model, model year, model code, date of first registration, the last 8 digits of the chassis number, and mileage
- The car’s current specification, warning lights and fault codes
- An image or PDF of the vehicle inspection certificate, and photos of the car and engine bay
When you sign up for the newsletter
- Your email address
- The date and time you signed up, and the language you were reading in
- A one-way hash of your IP address, kept to catch abusive sign-ups
The newsletter takes your email address and nothing else — no name, no address. We use it only to tell you about new products and events, and for nothing else. To stop receiving it, contact us at the address at the bottom of this page.
When you order and pay
- Billing and delivery details, order contents and order value
- Information about your payment method (card numbers and other payment credentials go directly to the payment processor; we never hold them)
Collected automatically
- Date and time of access, and browser information (user agent)
- A one-way hash of your IP address, kept to prevent abuse — the original address cannot be recovered from it
- Cookies, used to remember your language, keep your shopping cart, and measure site usage
This site uses Google Analytics 4, an analytics service from Google LLC, to understand how the site is used and to improve it. It uses cookies to collect the pages you viewed, the site you came from, how long you stayed, your approximate location, and your device and browser, and sends that to Google LLC in the United States.
We never send that service anything that identifies you — no name, email address, postal address, phone number, request number or order number. What it collects is handled under Google LLC’s privacy policy.

We use no advertising tags and no social media tags. If we ever add one, we will name it here along with what it collects and how to opt out.
2. Why we use it
- To work out shipping, check whether an item can be exported, and tell you the result
- To check fitment to your car, judge whether the work is possible, and tell you the result
- To take your order, ship the goods, invoice you and take payment
- To answer your enquiries and tell you about after-sales support
- To send the newsletter, to those who asked for it
- To prevent fraudulent applications, impersonation and spam
- To produce statistics, after the data has been put into a form that cannot identify anyone
We do not use what we collect beyond these purposes. If a purpose changes, we will tell you in advance.
3. Sharing with third parties
We do not give your personal data to anyone else, except:
- When you have agreed to it
- To carriers, so they can deliver your order (within Japan: Yamato Transport, Sagawa Express and similar; overseas: DHL or a logistics partner)
- To our payment processor, so your payment can be taken (Stripe Japan Inc.)
- To customs brokers or the authorities of the importing country, for export clearance
- Where the law requires disclosure
For orders shipped abroad, your information may be transferred to businesses and authorities in the destination country.
4. How we handle attached documents
A Japanese vehicle inspection certificate shows the owner’s and the user’s name and address, and the chassis number. We handle the documents and photos you send us as follows.
- They are stored outside the area the website can serve, and only our staff can open them, after signing in
- File names are replaced with strings that cannot be guessed
- Location data (GPS) and other metadata embedded in images is stripped when the file is saved
- They are never sent as email attachments
- They are deleted automatically 180 days after your enquiry is closed
5. How long we keep it
- Attached documents and photos: 180 days after the enquiry is closed
- Application details and enquiry history: 3 years
- Newsletter sign-ups: until you ask us to stop
- Order and transaction records: for as long as the law requires (7 years for accounting records, as a rule)
6. Access, correction and deletion
You can ask us to show you the personal data we hold about you, to correct it, to stop using it, or to delete it. Contact us at the address below. We will verify who you are and then act in accordance with the law.
We may not be able to delete transaction records that the law requires us to keep. If that is the case, we will explain why.
7. Keeping it safe
We control who has access, encrypt data in transit and keep storage areas separate, to prevent unauthorised access to personal data and to prevent it being lost, altered or leaked.
8. Cookies
This site uses cookies to remember your display language, keep your shopping cart, and measure site usage. If you turn cookies off in your browser, some features will not work.
The analytics cookie is stored on the novel-japan.jp domain, so that a visit which starts on our corporate site (novel-japan.jp) and continues here is counted as one visit.
